Terms of use
The agreement, in plain English
What you can expect from Varynt Knowledge, and what we need from you. We have tried to write this so you can actually read it — if any of it is unclear, ask and we will explain rather than point at a clause.
Effective 2 October 2026. We will tell you by email before a material change takes effect — see the last section of this page.
1.Who this agreement is between
These terms are between Varynt (“we”, “us”) and the organisation that we open a Varynt Knowledge workspace for (“you”, “your organisation”). They apply to that workspace, to everyone you add to it, and to this website.
If you accept these terms on behalf of a company, you are confirming you are allowed to. If you do not have that authority, please do not accept them.
2.How a workspace is opened
There is no self-serve signup. You talk to us, we agree a plan and a number of people, we open the workspace, and the first owner is invited by email. That owner then adds everyone else. Every workspace therefore has a named person who agreed to these terms.
Accounts are for individual people. Sharing one login between several people is not permitted: page history, comments, read acknowledgements and analytics all name a person, and they stop meaning anything if two people are behind one name.
A Varynt Knowledge account uses the same Varynt sign-in as the other Varynt products, so somebody who already uses one of them signs in with the credentials they already have.
3.It is for your own staff
Varynt Knowledge is a knowledge base for the people who work for your organisation. It is not a customer-facing help centre. If you also use Varynt Work, the client-portal contacts of that workspace cannot open Varynt Knowledge — that boundary is enforced by the service, not left to configuration.
A workspace admin may switch on public links. A page with a public link can then be read by anybody who has that link, without an account. Deciding which pages to share that way, and revoking links you no longer want open, is yours.
Who can see what inside Varynt Knowledge is yours to decide: which spaces exist, who belongs to them, and — on plans that include restrictions — which spaces and pages are limited to named people and groups. We enforce those choices in the API on every request; we cannot know what you meant to share. Keeping membership current when people join or leave, and removing access promptly when someone leaves, are yours too.
4.Reasonable use
Please do not use Varynt Knowledge to:
- store or share anything unlawful, or anything you have no right to share;
- attempt to reach another organisation’s data, or probe, scan or load-test the service without asking us first — we will usually say yes if you ask;
- resell access, or run it as a service for somebody else’s organisation under your own workspace;
- upload malware, or use page attachments as a general-purpose file host or backup.
We do not read your content to police this. We act on what is reported to us, or on something that threatens the service for everyone.
5.Your content stays yours
Everything you put into Varynt Knowledge — spaces, pages, comments, templates and the files attached to pages — belongs to you. We do not sell it, we do not share it with anyone except the service providers listed in our privacy policy, and we do not use it to train anything.
You can take it out while your workspace is open: any page exports to Word or Markdown. If you need a full export in another shape at the end of a contract, ask and we will help.
Deleted pages go to the space’s trash and can be restored for 30 days, after which they are removed for good — with their history, comments and attachments. A space admin can empty the trash sooner; that cannot be undone, by you or by us.
We license the software to you for the term — you are buying access, not a copy — and we keep the rights to Varynt Knowledge itself, including anything we build from your suggestions.
6.Plans, people, storage and paying
Varynt Knowledge is a subscription priced per person, billed monthly or yearly, on the plan you choose, at the prices quoted to you in writing (and, where we publish them, on our pricing page); each plan has a minimum number of people, and Enterprise terms are agreed with you directly. Paying annually earns the discount stated in your quote.
There is no card on file and no automatic charge. We invoice the number of people and the plan that were agreed, for the period agreed.
Your workspace has as many places as the people you are subscribed for. Adding somebody beyond that number is refused with an explanation rather than billed — talk to us and we will add people to your subscription. Each plan includes an amount of file storage; an upload that would go past it is refused rather than silently charged for, and more storage can be added.
7.Availability, support and changes
We work to keep Varynt Knowledge available and quick, and we will give you notice of planned maintenance where we reasonably can. Unless we have signed a separate service-level agreement with you, we are not promising a specific uptime percentage — and we would rather say that plainly than imply one.
Support is by email and by whatever direct channel we have agreed with you. We are a small team; you will usually be talking to somebody who works on the product.
The product will change. We add and improve things continuously, and occasionally we remove something that is not working. If we plan to remove or materially reduce a capability you rely on, we will tell you before it happens.
8.Confidentiality
Each of us will keep the other’s non-public information confidential and use it only to make this agreement work. For us that means your workspace content and anything you tell us while we are helping you; for you it means anything we share about how the product works that is not already public. This does not cover information that is already public, that either of us already knew, or that we are legally required to disclose — and if we are compelled to disclose yours, we will tell you unless we are forbidden from doing so.
9.Suspending or ending it
You can end the agreement at the end of your current term by telling us. We can end it on reasonable written notice, and we can suspend a workspace immediately if it is being used in a way that is unlawful or that puts the service or other customers at risk. If we suspend you, we will tell you why and what would resolve it.
When a workspace closes, we keep your content for a short window so you can export it or change your mind, and then we delete it. Ask us and we will confirm the window that applies to you in writing. Backups age out on their own schedule after that.
10.Liability
Varynt Knowledge is provided as it is. To the extent the law allows, we are not liable for indirect or consequential losses, for lost profits, or for data loss where you could have kept your own export. Our total liability in any twelve-month period is limited to the fees you paid us in that period.
Nothing here limits liability that cannot legally be limited — including for fraud, or for death or personal injury caused by negligence.
11.Governing law
These terms are governed by the laws of India, and the courts in India have exclusive jurisdiction over any dispute. Before going to court, please write to us — most disagreements are a misunderstanding about what the product does, and those are faster to resolve by talking.
12.Changes to these terms
We may update these terms as the product changes. If a change materially affects your rights we will email the workspace owner at least 30 days before it takes effect, and the date at the top of this page will change. Carrying on using Varynt Knowledge after that date means the new terms apply. If you would rather not accept them, tell us and we will end the agreement at the current term without penalty.
