Permissions and sharing

Open by default, closed where it counts

Everybody on your staff reads every shared space, until you say otherwise. Then a space, or one page and everything under it, opens only to the people and groups you name, workspace admins included.

[ 01 ] How it works

Who sees what

  1. 01

    Roles from your Varynt workspace

Admins create and manage spaces, authors write and publish, readers read published pages and nothing else.

  2. 02

    Restrict a space

Name the people and groups who may open it, and who may edit.

  3. 03

    Narrow a single page

A page and the pages under it can be limited further: only some may read it, or everybody reads and only some may edit.

  4. 04

    Share one page outside

If an admin allows public links, an author can give a single published page a link anybody can read.

Access the API enforces on every request

  • Admins includedPremium

An admin who is not named on a restricted space cannot read it. Recovering access is a separate, audited action.

  • People and groupsPremium

Grant a space or a page to a group once; people joining the group get it.

  • Readers

A read-only role for people who should see published pages but never change them.

  • Staff only

Client-portal contacts of a Varynt Work workspace cannot open Knowledge.

  • My space

Each person's own space is visible to nobody else.

[ 03 ] Outside the company

Sharing that an admin decides first

  • Public links, off by default

An admin switches them on for the workspace; then a published page can get one link, readable without a Varynt account.

  • Revocable at once

Revoke one link, or switch the policy off to stop every link at once; switching it back on restores the ones still valid.

  • A list of what is shared

Admins see every page shared publicly, in one place.

  • Who may download pages

Let every reader export pages to Word or Markdown, or only admins.

  • WatermarkingEnterprise

Stamp the reader's name, email and the time across pages they view and into downloads, on restricted pages or on every page.

[ 05 ] Questions

Asked before buying

Can our clients read our knowledge base?
They cannot sign in to it: Knowledge is for your staff, and Varynt Work's client-portal contacts are kept out. If an admin switches public links on, you can share a single published page with anybody who has its link.
Is a public link a help centre?
No. It shares one page at a time, without your branding or a search box. A customer-facing help centre is not part of the product today.
