Handbooks and policies

One current policy.A list of who read it.

The leave policy is a PDF attached to an email from 2022, and nobody can say who has read the new code of conduct. Knowledge gives each policy one page, one owner, a review date, and a record of every confirmation.

[ 01 ] How it runs here

From draft policy to confirmed

  1. 01

    A People handbook space

One page per policy, from the Policy template: purpose, scope, the rules, exceptions and the owner.

  2. 02

    Owner and review date

HR owns each page; the review queue brings it back before it goes stale.

  3. 03

    Ask everyone to confirm

A read request to the whole company or a group; the report shows who has, and on which version.

  4. 04

    Tell everyone when it changes

Notify everyone sends the new version by email and in the app.

[ 02 ] What HR and compliance lean on

The parts that matter most

  • Read acknowledgements

Confirmations recorded against the version, with the older ones called out.

  • Restricted spaces for HR

Payroll notes and investigations limited to named people, admins included.

  • Verified until a date

Readers see that the policy was checked, by whom, and until when.

  • Publish approvals

Legal signs off a policy before it is published, on Enterprise.

  • Audit log and legal hold

Every admin and security action, filterable and exportable; holds that stop anything being destroyed. Enterprise.

  • Word export

Hand a policy to an auditor or a board as a Word file.
